Job Summary:
The Executive Assistant position in the Division of Information Technology is responsible for providing a full range of administrative support work to the Vice President and other IT leadership, requiring the application of specialized technical and administrative knowledge, accompanied with the exercise of initiative, independent judgment, and decision making.
Duties and Responsibilities:
Serves as the administrative representative through telephone and personal contact, responds to inquiries verbally and/or in writing, and ensures and maintains confidentiality of all sensitive information.
Requests information and actions on behalf of the Vice President for Information Technology and ensures these requests are fulfilled efficiently and effectively and advises the Vice President of pending circumstances or events which have influence on Division and/or university policy.
Provides comprehensive support to the Vice President for Information Technology.
Prepares, receives and distributes letters, memoranda and other correspondence.
Archives, logs, tracks and distributes documents processed by the department.
Performs a variety of independent research and report preparation; supervises the preparation and compilation of agenda.
Assists in ordering, receiving and stocking office supplies.
Maintains a master department calendar.
Informs supervisor of all pending appointments and meetings, ensures that supervisor has all necessary material and is briefed before each meeting.
Reviews correspondence prepared by others for supervisor’s signature; composes correspondence on a variety of subjects; signs supervisor’s name to correspondence, documents, and similar papers.
Maintains department fiscal records, processes purchase and travel requisitions, purchase orders, invoices, travel vouchers, etc.
, and reconciliation of budgets, and tracks multiple departmental budgets.
Investigates vendor issues as needed; reconciles and files purchase card transactions for the department as required.
Coordinates and schedules individual and departmental meetings, take minutes when requested.
Prepares reports and presentations, collects and analyzes information, and drafts correspondence and responses to routine memos and letters.
Processes student worker contracts, payroll, and annual and sick leave for all employees.
Makes travel arrangements and files documents for travel reimbursement for all staff.
Reconciles monthly purchasing card statements.
Creates requisitions and direct vouchers, places and receive orders, distribute goods to staff.
Maintains adequate stock of office supplies.
Performs other duties as requested.
Required Minimum Qualifications:
High school diploma or equivalent, and
Minimum of (5) years relevant experience
