Position Summary
The Records and Data Integrity Manager plans, coordinates, and administers the administrative activities of the records department and serves as the data integrity officer for the center.
Essential Functions
Function as the custodian of student personnel records in both hard copy and EFolder format, from enrollment to separation and ensure folders are maintained in strict compliance with the Policy and Requirements Handbook (PRH).
Function as the data integrity point-of-contact (POC) for the center and conduct/coordinate daily verification and regular internal audits to ensure the accuracy and integrity of both electronic and hard copy data on student achievements, daily accountability, clothing issuances, leaves, and transportation.
Liaison with outreach/admissions, center, and career transition services staff to ensure student documentation is received timely and accurately and follow up with department heads to resolve persistent issues.
Perform quality control audits of new student files prior to enrollment to ensure accuracy.
Report issues of serious data integrity violations to the Center Director and corporate office as necessary.
Protect the confidentiality of student personnel records and release information only to those authorized in compliance with PRH Appendix 601.
Provide accurate entry of student data into designated Job Corps information systems including duty status and attendance, leaves of absence, academic and career technical training attainments, allotments, personal information, extensions, separation status, and other data.
Coordinate with the Security, Residential and other departments to conduct accurate morning attendance checks to establish student duty status and capture student signatures on daily, authenticated attendance rosters.
Prepare the Morning Report each training day using Job Corps information systems to reflect the attendance status of each student and publish to the staff for follow-up and accountability purposes.
Verify and approve student leaves as designated by the Center Director.
Maintain hard copy student personnel folders in compliance with PRH Chapter 6 and ensure aging hard copy records are archived in compliance with federal schedules and procedures.
Coordinate student travel arrangements including verifying eligibility, ordering travel tickets, and student travel account reconciliation in compliance with PRH Ch.

Maintain procedures to accurately record student clothing allowances in compliance with PRH Ch.

Ensuring the safety of student personally identifiable information (PII) in accordance with Job Corps guidelines and follows Federal guidelines for disposition of hard copy student files.

Responds to student, parent/guardian, and former student requests for copies of records in compliance with the PRH.

Provides quality customer service for both internal and external customers.

Provides on-call center support as warranted.
Qualifications and Experience Minimum
Associates Degree in business or related field with two years supervisory experience.
Equivalent combination of education and experience in lieu of degree is acceptable.
Strong data entry skills with high degree of accuracy.
Ability to analyze data and interpret reports.
Information technology proficiency including MS Office.
Excellent reading, and verbal and written communication skills are required along with a high degree of conflict management skills.
Willingness to provide on-call center support as warranted.
Preferred
Bachelor’s degree in business or related field and three years of supervisory experience.
